Payments for RecruitingBot are final. A refund is issued only in the three situations described in section 3. Before paying, you can run the one time demo on the homepage to see an example shortlist, and you can read every plan, price and monthly limit on the pricing page. Cancelling takes a moment in the billing portal and stops all future renewals.
1. Payments are final
A RecruitingBot plan is a subscription that gives your workspace access to the service for a month or a year, with the allowances and features listed for that plan. You pay for access to the service during the period, not for a particular result or a number of hires. Access for the whole period is granted the moment it starts, whether or not your team uses it.
Everything a plan contains is published before you buy. The pricing page lists every limit, from active roles to skills tests, and the homepage demo shows the kind of shortlist the service produces, with scores and evidence. The checkout repeats the plan, price, billing period and automatic renewal before any payment is taken, so the purchase should hold no surprises.
2. Note for consumers in the EU
RecruitingBot is intended for businesses, and these terms assume you subscribe in the course of your trade or profession. If, in a particular case, statutory consumer law gives you a right to withdraw from a distance contract, then by subscribing you ask us to begin providing the service immediately, and you acknowledge that your right of withdrawal is lost once performance has begun.
3. When a refund is possible
We refund a charge only where one of the following situations applies and can be shown from our records and those of our payment operator. A refund is limited to the charge affected.
- Duplicate charge. You were billed twice for the same workspace and the same period because of an error in our billing.
- Proven unauthorized charge. Someone charged your card without your permission, you report it to us within 14 days of the charge, and the transaction and account records support your account of events. A statement alone is not enough; the evidence decides. We may ask you to confirm that you have reported the misuse to your card issuer.
- Total failure of service. A confirmed fault on our side made the service completely unusable for a continuous stretch of time, you told us about it while it was happening, and we could not fix it. Slowness, a single feature misbehaving, issues with your own mailbox, calendar, browser or network, and outages of third party providers you connected are not total failures.
4. Situations that are never refunded
The following are not grounds for a refund of all or part of a charge.
- Changing your mind, filling the role another way, pausing hiring or no longer needing the service.
- Not using the workspace, or using only part of your monthly allowances, during a paid period.
- A renewal charged automatically because the subscription was not cancelled before the renewal date, including a renewal you cancel straight after it is charged.
- A renewal that went through after one or more failed attempts.
- Assuming a plan was a single payment. Every plan is a recurring subscription, which is stated on the pricing page, in the checkout, in the confirmation email and in the billing portal.
- Disagreeing with AI scores, drafts, reply classifications or test results. AI output can be imperfect, and a person on your team reviews and approves every shortlist.
- Candidates not replying, declining, failing screening or not being hired. We do not promise any hiring outcome.
- Choosing the wrong plan or billing period. You can move to a higher plan at any time and pay only the prorated difference.
- The unused part of a period after cancelling or downgrading. Access runs to the end of the paid period and is never prorated back.
- A workspace suspended or closed for breaching our Terms of Service.
- Someone else using your account, including a colleague you shared a login with.
5. How to send a request
Email [email protected] within 14 days of the charge. Include the date of the charge, the amount, and the email address of the account that was billed, plus a short description of which situation in section 3 you believe applies. Requests received after 14 days, or that do not identify the charge, cannot be considered.
We review requests in the order they arrive and check them against the records described in section 7. Where a refund is approved, it goes back to the original payment method only, for the affected charge only, and it settles the matter in full. Approving one request does not create an entitlement to another.
6. Renewals, failed payments and cancelling
Your subscription renews automatically at the end of every billing period until you cancel it. You can cancel at any time in the billing portal inside your account, and you do not need to write to us. Cancelling switches off all future renewals immediately and you keep full access until the end of the period you have already paid for. A cancellation is not a refund request and does not lead to one, and there is no pro rata credit for the remaining days.
When a new period begins, access for that period is granted and its fee becomes due. If the card payment fails, the fee is still owed. The payment operator retries the charge over the following days, which is a normal part of card billing and not a second charge. Cancelling during that time stops the renewals that come later, but it does not cancel the fee for the period that has already started. To avoid the next renewal, cancel before the renewal date shown in your billing portal.
7. What we keep on record
When you create an account you accept our Terms of Service, which include this policy and our Privacy Policy. For every subscription we keep the date and time of purchase, the plan and price shown at checkout, your acceptance of the terms, the confirmation and renewal emails sent to you, and the activity log of the workspace, such as sign ins, roles created, candidates analyzed, messages sent and tests issued, with the technical details recorded alongside them.
Our payment operator holds its own record of each transaction, including the country where the card was issued, where the payment came from and the result of bank authentication such as 3D Secure. We can retrieve that record for any charge. These records are what a claim is assessed against.
8. Chargebacks
If you believe a charge is wrong, contact [email protected] before you contact your bank. Most billing questions can be settled quickly by email. Opening a chargeback or payment dispute without contacting us first is a breach of our Terms of Service. When a dispute is raised, we send the records described in section 7 to the card issuer, and the account is closed permanently.
9. Changes to this policy
We may update this policy from time to time. A change never applies to a charge made before it took effect; each payment is governed by the version in force on the date it was charged. The date at the top of this page shows the current version.
